Position Summary
The Director of Maintenance is responsible for the overall leadership, performance, and organization of the maintenance department. This role oversees all maintenance operations across the company's portfolio, leading a team of 15 field technicians and a Maintenance Assistant while managing outside vendors and contractors.
The Director of Maintenance is responsible for ensuring every maintenance request is completed efficiently, professionally, and cost-effectively. Success in this role requires building scalable systems, developing employees, improving processes, maintaining accountability, and delivering exceptional service across the entire portfolio.
Key Responsibilities Department Leadership
- Lead, supervise, and develop a team of 14 maintenance technicians and one Maintenance Assistant.
- Establish performance expectations, provide coaching, conduct evaluations, and foster a culture of accountability.
- Recruit, onboard, and retain high-performing maintenance staff.
- Manage technician scheduling, workload balancing, PTO, and on-call rotations.
Maintenance Operations
- Oversee all maintenance requests from initial intake through completion.
- Ensure work is assigned to the appropriate in-house technician or outside vendor based on urgency, skill level, and cost.
- Monitor department workload, response times, completion rates, and service quality.
- Ensure emergency maintenance requests are handled promptly and effectively.
Systems & Process Improvement
- Develop, implement, and continuously improve maintenance systems, workflows, and standard operating procedures.
- Identify opportunities to improve efficiency, communication, quality, and cost control.
- Create measurable performance standards and monitor departmental KPIs.
- Ensure accurate documentation and consistent use of maintenance software.
Financial Management
- Review maintenance expenses and monitor departmental budgets.
- Approve vendor invoices and oversee accurate billing for in-house maintenance work.
- Identify opportunities to reduce costs while maintaining quality.
- Assist with planning capital improvements and major repair projects.
Qualifications Required
- 5+ years of experience in property maintenance, facilities management, or a related field.
- Minimum of 3 years of leadership experience managing maintenance teams.
- Strong organizational, planning, and project management skills.
- Knowledge of residential building systems including plumbing, electrical, HVAC, appliances, and general building maintenance sufficient to properly triage work.
- Experience managing vendors and contractors.
- Strong written and verbal communication skills.
- Experience using maintenance management or property management software.
- Fluency in English.
Preferred
- Experience overseeing maintenance operations for large multifamily residential portfolios.
- Experience developing operational procedures and maintenance systems.
- Budgeting and cost management experience.
- Familiarity with Fair Housing requirements and residential maintenance standards.
- Fluency in Spanish.
