Job Summary
We are seeking a resilient, highly organized, and patient Executive Assistant who can manage personal tasks and administrative duties for the owner of a well-established hotel with grace, efficiency, and a touch of humor. The ability to handle confidential information with discretion is of utmost importance.
Although the ideal candidate will be well-versed in Microsoft Office, knowledgeable about current events and passionate about hospitality, “old school” tasks such as transcription from a dicatphone, filing, making personal appointments and keeping a handwritten calendar will be the primary focus.
Responsibilities
- Administrative Support: Manage the owner’s schedule, including appointments, meetings, and travel arrangements. Ensure the owner is on time and well-prepared for all engagements.
- Correspondence: Handle all communications, including emails, phone calls, and letters, with professionalism and discretion. Print all emails, following specific, personal protocols
- Personal Assistance: Assist with personal errands, shopping, and other tasks as requested.
- Document Management: Organize, file, and manage important documents and records, (mainly physical vs. electronic) ensuring easy retrieval when needed.
- Discretion and Confidentiality: Maintain the highest level of confidentiality regarding all personal and business matters.
Qualifications
- Experience: A minimum of 5 years of experience as an executive or personal assistant, preferably in a high-pressure environment. Retirees, “second-act” professionals and mature candidates encouraged to apply.
- Skills: Exceptional organizational skills, strong attention to detail, and the ability to multitask effectively. Proficiency in office software (Microsoft Office, email management systems) is required.
- Communication: Excellent written and verbal communication skills. Ability to interact with a diverse range of people with diplomacy and tact.
- Resilience: Ability to work under pressure and handle challenging personalities with professionalism and patience.
- Flexibility: Willingness to be available for urgent tasks outside of standard business hours.
- Old-Fashioned Etiquette: A good understanding and respect for traditional business etiquette and practices.
